Minutes Of Previous Meeting: Approved
Matters Arising: Wet weather forced cancellation of the Horse & Pony Show.
Online banking remains unresolved, but we are still waiting for an authorisation code.
Treasurer’s Report: To be circulated at a later date. Account totals were circulated. RS proposed transferring a sum from the general account into the Parish Rooms Account to pay for proposed extension. AGREED.
Car Boots are going well.
The Tack Sale for this Saturday has more than 20 interested parties. We have had a request from a member of the public to hold a charity raffle at the tack sale. AGREED.
Summer Weekend Event - still scheduled for July 3 & 4. Party In The Park: 3 bands booked; a fourth is still to confirm. Show hours: 6pm to 10pm. Nigel and John agreed to run the BBQ. All dependent on the advice from the Prime Minister and how keen people are to return to socialising. RS sorting some LED lights for either end of the trailer.
Aris Fencing - to go up on the Thursday night/Friday (RS is still chasing the Council for a resolution on the hedge issue).
Sunday event: Bouncy castle booked. Wildlife display is still being arranged. RS trying to secure gun dogs and approaching some children’s groups. Display events are being scheduled. Cars will likely do a display. Do we know anyone with a vintage tractor? Can committee arrange some baking of cakes to be sold on the Sunday? Can we arrange for cups and saucers to be dug out? PM and RS have tablecloths. There are some clashes in the area that weekend, but this is unavoidable. PR suggested approaching the Women’s Institute but many organisations are yet to really get going again. ST suggested some children’s races. RS to approach the local fire service about doing a display. RS to see if we can arrange a tug-of-war. The FC is going to arrange a Beat The Goalie event. The BBQ will run again on the Sunday. ST will bring the ‘stocks’ up. We need additional raffle prizes. RS is chasing up local suppliers (including The Crown Lodge). RS to arrange posters and literature. We will need some background music on the Sunday.
Gymkhana weekend - RS has contacted the insurers about this and, provided that the attendance is less than 500, there will be no additional cost. It is proposed that we run this on August 28 - the bank holiday Saturday.
Dog Show - scheduled for Sunday 8 August. This will be organised by ST.
Football Goals, Cycle Racks, Storage and Litter Bins:
The portable goals are expensive but grants will cover them. It is proposed that UPFC buys the goals and the grants will be paid back to the committee.
NC drawing up plans for an extension to cover storage area.
It is proposed we need 5 or 6 additional tables.
RS proposed we secure some additional (Topsy) litter bins that don’t let in water. AGREED we will go ahead and purchase the bins.
Cycle racks have been requested. We have a quote.
Website: UPFCH&P link to be amended. UPFC is the other Facebook account.
Maintenance: There are a lot of rabbits on the field currently. Agreed to keep an eye on this.
Signage: Needs updating and further restrictions to be added. Agreed to amend and update, subject to quote.
Pavilion: Electrics completed. Now waiting for final work. Would be nice to finish for Gala Weekend.
