Meeting held 10th April 2021

Venue: outside of the pavilion, due to ongoing restrictions.

Present: Mark Elliott (Acting Chair), Ros Shorting, John Spikings, Pat Moat, Liz Thorpe.

Apologies: Steph Thorpe, Nigel Carter and Pip Read.

Minutes of previous meeting: principle point regarding April meeting to be amended.

Treasurer’s report: Two accounts; the larger sum is in the General Account. Year ending 31st March accounts need to be audited this year by a professional. The Blunt Trust Donation, although it has not gone through the UPFC account, is classed as an asset.

MAR: Teen Shelter – Ros, took this to the Parish Council to review its minutes of April 2009, where the body agreed to pay £100 per year for maintenance of the field. UPFC has never claimed anything. The original request for painting, then included for repairs to frontage ground – XXX (Redacted) quoted Fibrefall, rubber mulch £839, XXXX (Redacted) was £1,600 approximately; XXX (Redacted) quoted £310 for painting, including anti-climb paint and signs. The Parish Council agreed to pay.

GARDEN AGREEMENT: Mark had sent updated agreement to the Parish Council but, at the recent meeting, it was deferred until May. John: realise that £1,500 is too much in today’s pricing, but we have to be realistic. Ros: a fee for the brick store that the Council use was quashed several years ago, so it has the garden and a store for £20 at present. Mark: perhaps we put gym equipment in the wrong place? Pat: what does the old WCC agreement say?

CONSTITUTION: Mark reported that Christine A has agreed to continue working towards a new constitution for UPFC.

NEW CHAIR OF UPFC:  Mark proposed that Ros be elected chairperson, Liz quickly seconded and this was carried. Mark would send a formal note of thanks to Christine A.

CARBOOT: John would be available 5 out of 8 weeks. Nigel will also be available. Pat will come if home Christine and Ros to cook. Re-open as soon as restrictions allow.

H & P SHOWS: May 22nd, June 26th, July 10th, July 17th, Sept 4th, Sept 11th, Oct 2nd. All to be confirmed. Tack sale would be held on 8th May (to be run as a carboot day).

WEEKEND EVENT: Raffle – Pat to order – first prize £50 cash. Garden Ornaments etc., Bands times tbc; three to four bands (email circulated re times). Meeting closed 18.00hrs.

AOB: Woodland Trust - Ros has tried to contact the body as we have been 17 months without a hedge; Liz to ask Adrian to get a price for Hawthorn, Blackthorn (email circulated).
